Golf Tournament Supplies: The Complete Checklist for Organizers

A golf tournament lives or dies on the details, and nothing derails a smooth morning faster than realizing you’re short on scorecards or forgot the signage. A little stocking-up ahead of time saves you the day-of scramble. As the founder of Colorado Under Par, I’ve learned that the organizers who run calm events are the ones who worked off a checklist. Here’s the complete list of what you’ll want on hand.

On-course essentials

The basics that keep play running:

  • Golf balls and tees — extras for players who run out or forget, plus prize/giveaway sleeves.
  • Scorecards and pencils — formatted for your event and format (scramble, best ball, etc.). Bring more than you think you need.
  • Cart signs and tee markers — numbered for your starting holes to keep the shotgun start organized.
  • Rules sheets — format, contest rules, and local rules, one per cart.
  • Pin flags and contest markers — for closest-to-the-pin, longest drive, and other contest holes.

Signage

Clear signage makes the event look professional and keeps players oriented:

  • Sponsor and hole signs — a paid deliverable, so get names right and proof them early.
  • Directional / wayfinding signs — registration, carts, restrooms, the turn.
  • Welcome and registration banners — your event’s branded first impression.

Registration and check-in

  • Player and team lists (printed backups, even if you’re digital)
  • Name tags or bag tags
  • Cart assignments
  • A cash box or mobile payment setup for day-of add-ons
  • Pens, markers, tape, zip ties — the boring stuff you’ll desperately need

Awards and keepsakes

The finish players remember:

  • Trophies, medals, or plaques for your winners and contest champs
  • Prizes and gift cards for the awards table
  • Player gifts / keepsakes — branded towels, water bottles, hats, or tee packs that players keep and use long after the event

Contingency and comfort

The supplies that save the day when something goes sideways:

  • First-aid kit and basic supplies
  • Sunscreen, bug spray, extra water — for players and your volunteers
  • Canopy/tent, tables, and chairs for registration and contest holes
  • Trash bags and cleanup supplies
  • Phone chargers, batteries, and a backup plan for your tech

A note on sourcing keepsakes and signage

Many of these — especially branded keepsakes, apparel, and signage — come from promotional-products and printing vendors. Order anything custom (sponsor signs, branded gifts) well ahead of your event, since production and shipping take time and there’s no fixing a missing or misspelled item on the day. Reusable, undated items (like blank-slot sponsor signs) are worth the investment for recurring events.

CUP manages 10 sporting events per season, and that is the cap.
Applications for the 2027 season are reviewed starting October 1, 2026. Returning clients confirm their dates first, then remaining slots go to new clients. This is an application, not a booking, and it takes about 6 minutes.

Out-of-state note: our standard pricing covers events held in Colorado. Events outside Colorado are quoted individually with travel and on-site costs included.
Worth knowing before you submit: our fully-managed service starts at 100 people on site. Below that the economics do not work for either of us, so this is likely not a fit. You can still apply, and you can always list your sporting event on the CUP calendar instead.
This one gets a custom quote. Our standard service model covers single-day events with 100 to 160 people on site, including vendors. Larger fields and multi-day events still work, we just scope them and send a custom quote instead of a standard price.

What success looks like

Budget and timing

Fully-managed service is a real line item. Straight answers save us both time.

A CUP engagement runs roughly 150 to 200 hours of planning, design, marketing and coordination, handled by one team from the first call to the final award. Applications need a real budget line for professional management, separate from venue, food and prizes.
